How to Chase a Late Payment Without Burning the Relationship
The invoice was due last Friday. It's now Wednesday. You've opened WhatsApp to message the client four times and closed it four times, because you don't want to sound desperate, or rude, or like you don't trust them.
Here's the thing: chasing a late payment isn't rude. Not chasing it is what actually damages the relationship, because resentment builds quietly while you wait, and it comes out eventually anyway, usually at the worst moment.
Why clients pay late
Most of the time it's not malice. It's usually one of three things: they forgot, their own client hasn't paid them yet, or your invoice got buried in a WhatsApp thread with fifty other messages. A good reminder assumes the best and just makes it easy to fix.
The three-step approach
Step 1: The friendly nudge (1 to 3 days after due date). Short, warm, assumes it's an oversight. "Hi [Name], just a quick note that invoice #[X] was due on [date]. Let me know if you need the details again." That's it. No guilt trip.
Step 2: The firm follow-up (7 to 10 days after due date). Still polite, but now it names the number and the late fee if one applies. "Hi [Name], invoice #[X] for KES [amount] is now [X] days overdue. As per our agreement, a late fee applies after 7 days. Happy to sort this out today if you send payment or let me know what's going on."
Step 3: The final notice (14+ days, before you consider pausing work or escalating). Direct, still professional, states the consequence clearly. "Hi [Name], invoice #[X] is now [X] days overdue with no response to my last two messages. I'll need to pause further work until this is settled. Please confirm payment by [date]."
A few things that actually help
Invoice the moment work is delivered, not a week later. The sooner it's sent, the sooner the clock starts and the less awkward the first reminder feels.
Make paying easy. State your M-Pesa Paybill/Till or bank details on the invoice itself so there's no "let me get you the details" delay on their end.
Keep every reminder in writing. Not because you expect a dispute, but because a paper trail means you never have to rely on memory if one comes up.
